Integration of n8n with EZD RP

n8n is an open platform for building integration workflows using a drag-and-drop approach. In combination with EZD RP, it enables automation of auxiliary tasks such as:

  • transferring files to the repository,
  • updating metadata,
  • handling submissions (e.g. e-Nadawca),
  • retrieving confirmations/EPO and generating notifications.

Workflows run locally (on-premise) and are fully auditable.

Key capabilities of n8n

  • Graphical workflow design enables the creation of automation scenarios that reflect the real work of correspondence offices, secretariats and operational departments. Every process can be extended, combined and modified without altering EZD RP itself.
  • Hundreds of ready-made connectors cover mail services, databases, document repositories, ERP systems, OCR solutions and AI tools. This allows EZD RP to be integrated with the institution’s surrounding systems without investing in expensive dedicated modules.
  • Retry and error-handling mechanisms ensure continuity of processes. If an external service does not respond, n8n automatically retries the task, records the cause and notifies the responsible personnel—without the risk of data loss or unfinished operations.
  • Full transparency of actions — each step of the automation can be tracked, from data retrieval to storing results in the repository. This is important for audits, internal controls and quality assurance processes.
  • Reduction of manual operations in correspondence and registry handling, which lowers the risk of errors and allows employees to focus on substantive tasks rather than technical activities.

Background automation

n8n performs system operations continuously, regardless of working hours or user presence.
This applies both to correspondence handling and to technical activities such as obtaining postal confirmations, updating shipment statuses, completing metadata, processing files or storing documents in repositories. Workflows are executed based on schedules or event triggers, eliminating the need for user intervention.

The outcome of automation is complete data or documents visible in EZD RP, without staff having to perform technical sequences such as logging into e-Nadawca, downloading files, manually marking shipments or moving files between directories.

Security and compliance with public sector requirements

The n8n platform is deployed within the institution’s own infrastructure (on-premise), which allows data to be processed exclusively inside the local ICT environment. This ensures compliance with information-security requirements applicable to public entities.
All integration workflows, as well as input and output data, may be audited, and operational logs are stored in the same manner as the main system server logs. The solution supports risk minimization and full control over data flow — which is particularly important in handling personal data, administrative information or materials subject to confidentiality.

n8n enables integration with multiple systems and services without the need to build dedicated modules or extensions tied to a single vendor. Workflows can be designed visually using hundreds of pre-built connectors: content repositories, process engines, databases, mail services, government APIs and analytical tools.

Creating new automations does not require tenders or custom software development — it is sufficient to define the workflow and processing rules. The platform eliminates vendor lock-in: logic remains under the institution’s control, and configuration can be modified by administrators or technical teams responsible for system maintenance.
