Masking data on documents

The Masking data on documents module allows for automatic or ad hoc hiding of sensitive data directly in the content of documents. This is a practical and secure solution that protects personal, financial or other confidential information from unauthorised access, while allowing the structure of documents to be preserved for further use or sharing.

Key capabilities of the module:
  • Compliance with security policies- Masking is done according to configurations assigned to roles or organisational units. Unauthorised persons cannot access unmasked versions.
  • Data detection and masking- The system identifies different types of data (e.g. PESEL, NIP, account numbers, email addresses, telephone numbers) using rules and patterns (regex) and then replaces them with masking characters (e.g. ‘***’) or part of the obscured string in the format, e.g. ‘XXXX-XXXX-1234’.
  • Contextual masking– Ability to define rules specific to categories of documents (e.g. HR, medical, financial), thus maintaining readability without revealing confidential information.
  • Support for different file formats- The module works in accordance with documents in formats: PDF, DOCX, XLSX, TXT, ensuring compatibility with commonly used office software.
  • Flexible triggering of masking processes- Masking can be initiated automatically when a document is uploaded or can be triggered manually from the interface – depending on operational requirements.
  • Preview and approval of results- Before final application, the user has the option to verify the parts of the document that will be hidden. The system allows the proposed modifications to be approved, edited or withdrawn.
